What does a med spa event planner do?

A med spa event planner plans, promotes and helps run the events that bring patients through your door: a grand opening, a VIP night for your best patients, a new treatment launch, or a seasonal sales day. Most handle the offer and package design, invitations, email and text reminders, social posts, vendor and product rep scheduling, and the follow-up that turns guests into booked appointments. Some also run the day on site. The differences that matter are how they charge (flat fee, retainer or a share of event revenue), whether anyone is there on the day, and who owns the guest list afterward.

How we chose this list

We looked for companies whose own websites describe planning or promoting events for med spas or medical practices, then checked four things a practice manager can confirm before a call:

  1. Med spa focus. Does the site name med spas, aesthetic practices or medical practices as a market?
  2. Scope. Strategy and offers, promotion, day-of help, and post-event follow-up. Few do all four.
  3. Published terms. Fees, commission rates, timelines or course prices.
  4. Proof you can verify. Named events or practices you can ask about.

We did not include individual med spas that host injectable parties for the public, or mobile injector services; those are providers, not planners. The order is our editorial view, not a measure of results.

1. The Spa Events Co.

The Spa Events Co. plans and runs in-spa events for medical spas on a performance-based commission model. It states it handles strategy, marketing, vendor coordination, day-of execution and post-event follow-up, and lists seasonal sales events, patient appreciation days, new service launches and holiday events as typical formats.

What stands out:

  • Published commission. No retainer or deposit. It lists 15% on the first $20,000 of event revenue, 20% on $20,000 to $40,000, and 25% above $40,000 (as of October 2026). Final terms are confirmed on a strategy call.
  • Defined deliverables. A full event strategy (pricing, packages, raffle and gift structure), a six-week content calendar, written email and text sequences, an on-site day-of coordinator, rep scheduling and sample curation, and post-event follow-up.
  • Stated fit. It says it is built for med spa owners doing $500,000 to $3 million a year, with events that typically run three to four hours.
  • Named example. It describes a "Christmas in July" event for Eternal Beauty Spa in Wichita, Kansas, with three package tiers.

Right for: an established med spa that wants a planner with skin in the game for one or two big sales days a year. Ask: how "event revenue" is defined (packages sold that day, prepaid deposits, later bookings), when the commission is paid, and how the six-week plan fits around your product reps' calendars.

2. Pronk MedSpa Marketing

Pronk MedSpa Marketing is a med spa marketing agency, founded in 2016, that runs events as one part of its service. Its event page describes a four-phase system: plan six to eight weeks out by segmenting your patient list by spend and treatment interest, promote for four or more weeks across email, text, Meta ads and direct mail, run the day with treatment stations and on-site booking, then follow up with patients who didn't buy.

What stands out:

  • Four event formats. VIP treatment nights, new treatment launches, seasonal events, and open houses or anniversaries.
  • One practice per city. Pronk states it works with only one med spa in each city.
  • Launch Kit. It also lists a setup package for new practices.

Right for: practices that want four to six events a year tied into ongoing marketing, not a one-off party. Ask: whether events can be bought on their own or only with a monthly program, who is on site on the day, and how results are measured.

3. Pinpoint Creative

Pinpoint Creative is a branding agency for aesthetic medicine based in Everett, Washington. It reports promoting thousands of events for medical aesthetic practices and businesses, including grand openings, patient appreciation days, VIP sales events, lunch and learns, and new provider introductions.

What stands out:

  • Event promotion packages that can include theme development, digital and print invitations, save-the-date and drip emails, social promotion, pop-up and point-of-purchase signs, lobby display loops, event handouts and post-event lead nurturing.
  • Swag and goody bags. It sources and designs promotional merchandise for events.
  • Timeline. It recommends rolling out finished event materials about six weeks before the date.

Right for: practices that care how the event looks and want invitations, signs and gifts that match the brand. Ask: whether it helps on the day or focuses on materials, and how it coordinates with your social media or ads agency.

4. ChromePMS

ChromePMS is a med spa consulting firm founded by Elaina Lester that offers event planning as a standalone service. Its event page lists event branding and design, vendor scheduling and logistics, sourcing gifts and swag bags, raffle prizes, vendor support, event-only offers, guest tours of the practice, assigning roles to your staff, and coordination with your marketing team.

Right for: owners who want someone to manage the details and staff plan while the practice runs as usual. Ask: whether a planner attends the event, how fees are set, and whether event planning can be bought without a consulting engagement.

5. Diamond Accelerator

Diamond Accelerator is a consulting, recruiting and marketing firm that states it works only with medical aesthetic and wellness practices and has done so since 2012. Its published sales event playbook argues events succeed on operations as much as marketing: an eight-week event planner, early product rep commitments, assigned staff roles, and a team trained to sell on the day. Its consultants describe single events at practices they work with reaching six-figure revenue.

Right for: practices whose past events filled the room but didn't sell. Ask: whether event support is a separate engagement or part of consulting or marketing, and what sales training is included.

6. Forage

Forage is a marketing agency that sells a launch package for new med spas and medical practices. It bundles brand identity, a five-page website, social account setup, a HubSpot CRM setup with a "We're Open" email, and a grand opening "VIP Preview" playbook with branded invitations, an RSVP page, event signage templates, a day-of photo checklist and a thank-you email. It states the package takes four to six weeks.

Right for: a practice that hasn't opened yet and wants the grand opening planned alongside its brand and website. Ask: who runs the event on the day (the package reads as a playbook), and whether you need HubSpot if your practice software already handles patient email.

7. Grace & Grit Marketing

Grace & Grit Marketing is a founder-led medical marketing agency in Shelby, North Carolina, run by Andrea Rodgers. It serves medical, dental and aesthetic practices nationwide. Its event marketing service covers goal setting, format advice (in person, virtual or hybrid), email invitations and reminders, social and paid promotion, RSVP pages, post-event follow-up and a performance review.

Right for: practices planning open houses, patient education nights or community events where trust matters more than a sales day. Ask: whether it supports aesthetics-specific offers and how it reports on bookings, not just attendance.

8. Residency Aesthetics (WRAPPED)

Residency Aesthetics sells WRAPPED, an event planning course for med spa owners by Mechelle "Meesh" Barras, RN, who states she owns a med spa. It includes the course, editable templates, checklists and scripts. A VIP tier adds three months of one-on-one coaching (four calls a month), a personalized event and pricing plan, and text and email support, listed at $4,997 paid in full (as of October 2026). A lower-priced self-paced tier is also listed.

Right for: owners who plan to run several events a year and would rather build the skill in-house than pay a planner each time. Ask: what the templates cover and whether coaching includes a review of your event offer before launch.

9. Grand Openings

Grand Openings is a general grand opening company. It lists event planning and on-site direction, ribbon-cutting ceremonies, launch parties, press releases, influencer outreach, community partnerships, branded promo products and event staffing. It names restaurants, retail, hotels, venues and franchises as markets and reports 200+ openings. It does not name medical practices, so treat it as a general vendor.

Right for: a new practice that wants local press, a ribbon cutting and community visibility on opening day. Ask: where it operates, what it has done for healthcare businesses, and how it handles medical advertising rules in press and influencer posts.

Questions to ask any med spa event planner

  1. How do you charge? Flat fee, monthly retainer or a share of revenue. If it's a commission, get the definition of event revenue in writing.
  2. Who is on site? Ask whether a coordinator attends and what they do, or whether you get a playbook and run the day yourself.
  3. Who owns the guest list? RSVPs and leads collected for the event should go into your practice records and stay yours.
  4. Will you sign a BAA? If the planner sends texts or emails to your patient list or handles patient contact details, ask for a business associate agreement.
  5. Who approves offers and claims? Event pricing, injectable promotions and before-and-after content should be reviewed by your medical director against your state's advertising rules.
  6. What happens with treatments on the day? Confirm that any injections or device treatments happen in an appropriate clinical setting, by licensed providers, with your normal consent and charting. Check your state's rules before planning an off-site injectable party.
  7. Can I talk to a recent practice? Ask for one or two med spas that ran a similar event in the last year.

Where Prospyr fits

An event creates a burst of bookings, deposits and new patient records in a few hours. Whoever plans it, check that guests can book and pay a deposit on the night and that new contacts land in the same system your front desk uses, so follow-up isn't a spreadsheet. If you're reviewing your practice software too, see how Prospyr handles online scheduling, or book a practice demo.

Frequently asked questions

How much does a med spa event planner cost?

It varies, and most planners on this list don't publish fees. The Spa Events Co. publishes a tiered commission of 15% to 25% of event revenue with no upfront fee, and the WRAPPED course lists a VIP coaching tier at $4,997 (as of October 2026). Agencies usually quote events as a project or as part of a monthly program.

How far ahead should a med spa plan an event?

Six to eight weeks is the common range. Pinpoint Creative recommends finished materials about six weeks out, and Pronk and Diamond Accelerator describe planning starting six to eight weeks ahead. Book product reps early, since they support many practices.

Are Botox parties legal?

It depends on your state. Rules on who can inject, where treatments may be performed, supervision and serving alcohol differ, so check with your state board and a healthcare attorney before planning an off-site or party-style injectable event. Many practices hold events in the practice itself so treatments happen in a clinical setting with normal consent and charting.

What kind of med spa event brings in the most revenue?

Planners on this list most often point to VIP nights for existing patients and new treatment launches, because guests already trust the practice. Results depend on your patient list, the offer and whether your team can book and take payment on the spot.

Should I hire a planner or run events myself?

If you plan one big event a year, a planner or commission-based firm saves staff time. If you plan four or more, a course like WRAPPED or a consultant who trains your team may cost less over time.
