Software for PE-backed med spa platforms and MSOs: Bring each acquired practice over, records and all

A private-equity-backed med spa platform should standardize on software that can take each acquired practice's records over without losing history, then run every location on one set of services, permissions and reports. Prospyr is an operating platform, purpose-built for aesthetics. We move each practice's data ourselves: photos, charts and history.

For PE-Backed Platforms & MSOs — Prospyr

What software should a private-equity-backed med spa platform standardize on?

A PE-backed med spa or aesthetic platform should standardize on software that can migrate each acquired practice without losing patient history, then run every location on shared services, consents, permissions and reports. The migration is the hard part. Prospyr's team moves each practice's records, charts and photos ourselves and tells you what won't come over cleanly before you commit. After that, locations share one patient record, reports read across them by location or region, and access is set by role, location and single sign-on.

Migration of each acquisition

We move your data ourselves for every practice you bring on: photos, charts and history, and we do not leave until it is right.

How switching works →

One record per patient

Duplicate patient records from overlapping practices can be found and merged into one chart.

Aesthetic EMR →

Reports by location and region

Revenue, provider and commission reports across the locations in a workspace, filtered by location or region.

Analytics →

Standard setup across locations

Services, consents, forms and workflows are built once, with per-location prices, providers and merchant accounts.

Multi-location management →

Access control

Built-in roles, custom permissions, team members locked to a location or region, and SAML 2.0 or OpenID Connect single sign-on.

Team access by location →

API and webhooks

A documented REST API with keys your admins issue and revoke, plus outbound webhooks for patient and payment events, for feeding a data warehouse or finance system.

API documentation →

Insurance billing is on Prospyr's roadmap but is not available today. Prospyr supports your aesthetic practice's clinical and business workflows now. If you bill payers, keep a separate claims solution in place and discuss your requirements with our team before switching.

Frequently asked questions

How do you migrate an acquired practice without losing patient history?

We move the data ourselves: patient records, charts, before-and-after photos and appointment history. Some things don't come over cleanly from every system, and we tell you exactly what before you commit, not after you find out. Each acquisition can be moved on its own schedule, and onboarding and training are included for the practice's team.

What happens when the same patient exists at two practices we acquired?

Prospyr finds likely duplicate patient records and lets your team merge them, so the combined practice works from one chart per patient.

Can we report across every practice on the platform?

Yes, for every location in a workspace: revenue, provider and commission reports read across all of them, filtered by location or region. Practices kept in separate workspaces, for example separate legal entities, each have their own reports, and one login can switch between them; there isn't a single combined report across separate workspaces today. The REST API and webhooks can feed your own data warehouse.

Can each acquired practice keep its own brand and payment account?

Yes. Each location can have its own logo on patient emails and settle card payments to its own merchant account. The patient portal and team app can also run on the platform's own domain, set up with our team during onboarding.

Is Prospyr HIPAA compliant, and do you sign a BAA?

Yes. Prospyr is HIPAA compliant and offers a BAA. Our security practices are published at trust.prospyrmed.com.

Does Prospyr support single sign-on and role-based access?

Yes. Built-in roles cover owners, admins, providers, front desk, medical assistants, marketers and bookkeepers, owners can add custom permissions, and team members can be locked to a location or region. SAML 2.0 or OpenID Connect single sign-on is available once we turn it on for your workspace.
