Best med spa software in 2026: 24 platforms compared

Every major med spa platform, grouped by the kind of practice it fits, with published pricing, insurance billing and the one thing to check in each demo.

What is the best med spa software?

The best med spa software depends on how your practice runs. Most cash-pay med spas fit an aesthetics platform that keeps booking, charting, payments and follow-up on one patient record, such as Prospyr, Aesthetic Record, PatientNow or AestheticsPro. If booking and checkout lead and your charting is light, look at Boulevard, Mangomint or GlossGenius. If insurance billing is a large share of revenue, you need claims tools built in: Nextech, ModMed, Symplast or OptiMantra. Large multi-location groups often shortlist Zenoti.

Disclosure: Prospyr makes practice software and is one of the 24platforms here. It’s listed first because we publish this page; the rest are grouped by practice type, not ranked by score.

How to choose med spa software

Seven questions sort most of this list before you book a single demo.

  1. 1. Do you bill insurance?

If payers are a large share of revenue, you need claims tools inside the system. That narrows the list to the medical EMRs in the last group. If you're cash-pay, insurance tools add cost and clicks you won't use.

    Compare aesthetic EMR charting
  2. 2. Do you prescribe or order labs?

GLP-1, hormone and wellness programs need e-prescribing and lab results in the chart. Several booking-first platforms document neither, which means a second system.

    Which platforms have e-prescribing
  3. 3. How do you track tox and filler?

Unit-level tracking ties every unit to the appointment where it was used, so shrinkage shows up early. General retail inventory doesn't do that.

    Compare injectable inventory tracking
  4. 4. Do memberships and packages carry your revenue?

Check that memberships renew, credits track on the patient record and packages count down by session. Some platforms gate these behind higher tiers.

    Compare memberships, packages and loyalty
  5. 5. Where do new patients come from?

If leads arrive by phone, text, Instagram and web forms, look for one inbox and a pipeline that tracks each lead to a booking, not just a contact list.

    Compare lead and CRM tools
  6. 6. How many locations do you run, or plan to?

Multi-location support ranges from a shared calendar to per-site rooms, devices, teams and reporting. Some vendors only include it on upper tiers.

    Compare multi-location tools
  7. 7. What happens to your data when you switch?

Ask every vendor who moves your photos, charts and history, what it costs, and what won't come over cleanly from your current system, before you sign.

    How switching to Prospyr works

Ask every vendor these, in writing

  • What's the total monthly cost at our provider and location count, with every add-on we'd use and your card-processing rate?
  • What's the contract term, how does it renew, and what does it cost to leave early?
  • Will you sign a BAA before we add patient information, and which connected services does it cover?
  • Who migrates our photos, charts and history, what does it cost, and what won't come over?
  • Can we export all of our data at any time, and is there a fee?
  • Show us a full visit in the demo: booking, intake, the chart with photos and units, checkout and the follow-up reminder.

Med spa software questions

What is the best med spa software in 2026?

The best med spa software depends on how your practice runs. Most cash-pay med spas fit an aesthetics platform that keeps booking, charting, payments and follow-up on one patient record, such as Prospyr, Aesthetic Record, PatientNow or AestheticsPro. If booking and checkout lead and your charting is light, look at Boulevard, Mangomint or GlossGenius. If insurance billing is a large share of revenue, you need claims tools built in: Nextech, ModMed, Symplast or OptiMantra. Large multi-location groups often shortlist Zenoti.

How much does med spa software cost?

Published prices range widely. Calysta Pro EMR lists a $0 base plan funded by a 2.95% card rate, Aesthetic Record lists $15 to $19 per user a month plus onboarding, Mangomint lists $120 a month per location plus $10 per user, AestheticsPro lists $160 to $350 a month, and Boulevard's Aesthetics bundles list $328 to $374 a month per location billed annually. Many vendors, including Zenoti, PatientNow, Nextech and ModMed, don't publish pricing. Prospyr is quoted after a demo. Compare the total at your provider count, with add-ons and card processing, not the headline price. All figures are as checked on the dates shown in each listing.

What's the difference between med spa software and an EMR?

An EMR is the medical record: charts, treatment notes, photos, consents and prescriptions. Med spa software is the wider system that runs the practice around it: booking, checkout, memberships, inventory, marketing and follow-up. Some platforms on this list lead with the EMR, some lead with booking and add charting, and some keep both on one patient record.

Do med spas need software with insurance billing?

Most cash-pay med spas don't. Insurance tools matter when payers are a large share of revenue, which is more common in plastic surgery, dermatology and multi-specialty practices. Nextech, ModMed, Symplast, OptiMantra, 4D EMR and Remedly document claims tools in the same system, and Jane App offers them as an add-on. Prospyr doesn't do insurance billing today, so practices that bill payers keep a separate claims tool.

Which med spa software has e-prescribing and lab ordering?

It varies more than most buyers expect. Prospyr documents integrated e-prescribing to US pharmacies and lab results in the chart. Several booking-first platforms document neither, including Mangomint, and Jane App says US e-prescribing isn't available yet. If you run GLP-1, hormone or wellness programs, check both before you shortlist.

Is med spa software HIPAA compliant?

Software can support HIPAA, but your practice is responsible for compliance. Ask each vendor to sign a business associate agreement before you add patient information, and check which plans and connected services the agreement covers. On some platforms the BAA comes only with a medical plan or add-on.

How hard is it to switch med spa software?

It depends on who does the work. We move your data ourselves — photos, charts, and history — and we do not leave until it is right. Some things don't come over cleanly from every system. We tell you exactly what before you commit, not after you find out. Whichever vendor you choose, ask who moves your photos, charts and history, what it costs, and what won't come over before you sign.

Does Prospyr publish this list?

Yes. Prospyr makes practice software and is one of the platforms compared here, so this isn't an independent ranking. Prospyr is listed first because we publish the page; the others are grouped by practice type, not scored. Every competitor summary comes from what that company publishes on its own website, checked on the date shown in each listing, and each one links to a fuller comparison with sources.
