What does a HIPAA compliance consultant do for a small clinic?

A HIPAA compliance consultant builds and maintains the paperwork and habits that show your clinic protects patient information. For a small practice that usually means five things: a security risk analysis, written privacy and security policies, annual staff training, business associate agreements (BAAs) with vendors that touch patient data, and a plan for logging and reporting incidents. Most companies in this category now sell that as software plus access to a compliance team. The real differences are how much the vendor does for you, whether it covers OSHA too, and what it publishes about price.

How we chose this list

We looked for companies that sell a complete HIPAA program a small clinic can run, not just a one-time audit or an enterprise security service. Then we checked four things a practice manager can check before a sales call:

  • Coverage. Risk analysis, policies, training, BAAs and incident tracking in one program.
  • Help from people. Whether you get a named team or only software.
  • Fit for small practices. Whether the company names small practices or aesthetic specialties as a market.
  • Published price. Whether you can see a number before the first call.

Healthcare Compliance Pros is first because it is the only company here with a page for med spas, aesthetics and wellness clinics and a published price for a small practice. The order is our editorial view, not a measure of results. Several of these companies also sell OSHA programs; see our list of OSHA training for medical offices if that is your main need.

1. Healthcare Compliance Pros

Healthcare Compliance Pros sells HIPAA, OSHA and corporate compliance programs through its SHIELD software, backed by a compliance team. Its med spa, aesthetics and wellness page covers HIPAA privacy and security, OSHA, staff licensing and credential tracking, and review of advertising claims against FTC, FDA and state rules.

What stands out:

  • Published price. $3,000 a year for a private practice with up to 10 users. Multi-location groups and MSOs get a custom quote with per-user fees.
  • Assigned team. It states every customer gets a team of three to five compliance professionals.
  • HIPAA scope. Custom policies and procedures, online training, breach management, BAAs, audit support and a security risk analysis.
  • Extras. A learning library of 130+ courses and an optional fractional compliance officer service.

Right for: an aesthetic or wellness clinic that wants HIPAA, OSHA and ad review handled by one vendor. Ask: what the fractional compliance officer costs, and how many hours of team time the annual fee includes.

2. Abyde

Abyde sells HIPAA and OSHA compliance software that generates policies, procedures and forms after a guided risk assessment, and tracks employee training and vendor agreements. It says its software is updated for state and federal law changes. It lists dermatology and plastic surgery among the specialties it serves, alongside dentistry, optometry and many others.

What stands out:

  • Experts included. It states customers get unlimited access to its compliance experts at no extra cost, including help with complaints, breaches and audits.
  • Track record claim. It reports 3,000+ customers and a 100% audit pass rate.
  • Vendor agreements. Electronic signing of BAAs and reminders before agreements expire.

Right for: a clinic that wants software to do most of the drafting and a team to call when something goes wrong. Ask: the annual price for your headcount and what "audit pass rate" covers.

3. Compliancy Group

Compliancy Group runs The Guard, a platform for HIPAA, OSHA and SOC 2 programs with 100+ policy templates, staff training, risk management, incident reporting, vendor and BAA tracking, and exclusion list checks across 55 lists. It sells advisory services and offers an AI assistant called Cora.

It says its small-practice program is built for the one person who gets handed compliance without formal training, with guided workflows and hands-on support. Onboarding ranges from self-serve to one-on-one support. Pricing is by request, and it notes discounts through partner associations.

Right for: a clinic where the practice manager is also the privacy officer. Ask: which onboarding package fits a single location, and whether your professional association has a discount.

A Concierge tier adds a dedicated project manager for multi-location groups.

Right for: a clinic that wants an expert to check its work at a known price. Ask: which tiers carry the onboarding fee and what the annual total is.

5. SecurityMetrics

It publishes annual prices: Basic $1,499 (one IP scan, three training seats), Plus $2,499 (three scans, 15 seats) and Pro $4,999 (five scans, 25 seats), with support hours that rise by tier. It states all packages include a $100,000 service guarantee.

6. Medcurity

Medcurity, based in Spokane, Washington, focuses on HIPAA security risk analysis, with policies, training, BAA management, vendor risk and network testing. Its Small Practice SRA costs $499 a year for practices with up to 20 full-time employees and includes the risk assessment, a full set of privacy and security policies, and audit-ready reports. You complete it yourself, with a compliance specialist available for questions.

9. Total Medical Compliance

Total Medical Compliance, in Indian Trail, North Carolina, trains medical and dental practices on OSHA, HIPAA and infection control. It sells online courses and packages that add seats as you hire, and offers on-site consulting and training at practices across the country. Pricing is by quote.

It explains the privacy and security rules in plain language, with a search box, downloadable policies, procedures, forms and lessons, and risk analysis and risk management tools. It also offers training by webinar, one-on-one sessions and in person.

Right for: an owner who wants to understand the rules and run the program in-house. Ask: the price, and how much one-on-one help is included.

Questions to ask any HIPAA compliance consultant

  1. Who writes the risk analysis? Self-guided, guided, or done for you. Each carries a different price and a different amount of your time.
  2. What happens in a breach or audit? Ask whether incident response and audit support are included or billed separately.
  3. Will you sign a BAA with us? A vendor that sees your patient data or systems should. Ask it to sign before onboarding.
  4. Does it cover OSHA too? Many clinics need both. Buying one program can save money and staff time.
  5. What does any "certification" or seal mean? Ask who issues it and what it covers.
  6. What is the term and the cancellation notice? Get the annual total, onboarding fees and renewal terms in writing.
  7. Can we export everything if we leave? Your policies, training records and risk analysis should stay with you.

Where Prospyr fits

A HIPAA program asks how patient information moves through your clinic: intake forms, texts, photos, charts and payments. The fewer separate systems you use, the shorter your BAA list and risk analysis. Prospyr offers a BAA and keeps digital intake and consents and two-way patient texting inside one system. Frequently asked questions

Do small clinics need a HIPAA compliance consultant?

Not always, but many small clinics find a program cheaper than building one from scratch. The free HHS Security Risk Assessment Tool is built for small and medium providers, though HHS states that using it does not guarantee compliance. A consultant adds policies, training and someone to call.

How much does HIPAA compliance cost for a small practice?

Published prices on this list run from $499 a year for a self-guided risk analysis (Medcurity) to $4,999 a year for a security package with scans (SecurityMetrics). Monthly software plans start around $169 to $199 a month. Ask about onboarding fees and the annual total.

Is there a free HIPAA risk assessment tool?

Yes. The Security Risk Assessment Tool from ONC and the HHS Office for Civil Rights is a free download for small and medium providers. Version 3.7 was released September 18, 2026. It guides you through the assessment but does not write your policies or train staff.

Do HIPAA consultants also handle OSHA?

Several do. Healthcare Compliance Pros, Abyde, Compliancy Group and Total Medical Compliance all list OSHA programs. If OSHA is your main need, see our list of OSHA training for medical offices.

Should I hire an attorney instead?

Use a compliance program for the day-to-day work and an attorney for legal questions, breach notification decisions and disputes. Our list of med spa attorneys covers firms that handle those matters.
