Top 8 Staff Training Platforms for Clinics in 2026
Compare 8 staff training and LMS platforms for clinics and med spas: compliance courses, custom onboarding, completion records and published prices.

For practice owners and managers. Updated October 2, 2026 · Prepared by Prospyr. Prospyr makes practice software, not training software, and none of the platforms below is a Prospyr product. Each summary reflects what the company publishes on its own website, checked October 2026. Plans, prices and course libraries change, so confirm everything in writing before you buy.
What does a staff training platform do for a clinic?
A staff training platform gives every new hire the same onboarding, assigns required courses on a schedule, and keeps a record of who finished what and when. For a med spa or aesthetic clinic that usually means three kinds of content: compliance courses (OSHA, HIPAA, infection control), your own procedures (front desk scripts, room turnover, consult flow), and role checklists a manager signs off. Healthcare platforms come with ready-made compliance courses. General platforms are cheaper and better for your own procedures, but you write most of the content yourself.

How we chose this list
We looked for platforms a clinic can use to onboard and train staff, then checked four things on each website:
- Healthcare fit. Does it name medical practices or clinics (or, better, med spas) as a market, or ship healthcare compliance courses?
- Record keeping. Can a manager assign courses, set due dates and pull a completion report for an inspection?
- Your own content. Can you upload your procedures, videos and quizzes, not just buy courses?
- Published prices. Small practices need to know the cost before a demo. We say when a company publishes it.
None of these platforms is built only for med spas. The order is our editorial view, not a measure of results.
1. Healthcare Compliance Pros
Healthcare Compliance Pros sells compliance programs to medical practices and lists MedSpa, Aesthetics and Wellness Center as a named specialty. Its SHIELD Compliance Solution includes a learning management system alongside HIPAA, OSHA and corporate compliance, and it also offers a fractional compliance officer service.
What stands out:
- Med spa focus. Its med spa page covers HIPAA privacy, OSHA safety, infection control, sharps and licensing.
- Published price. $3,000 a year for a private practice with up to 10 users, as of October 2026. Multi-location groups and MSOs are quoted.
- Training tied to the program. Courses sit next to the policies, risk assessments and business associate agreements they support.
Right for: a single-location med spa that wants required compliance training and the paperwork behind it from one vendor. Ask: whether you can upload your own procedures and front desk training, or only use its courses.
2. MedTrainer
MedTrainer combines a learning management system with credentialing and compliance tools. It reports serving 32,000+ healthcare facilities, including physician and specialty practices, surgery centers, urgent care and dental practices. The LMS covers staff training and continuing education, CPR and BLS certification, custom coursework and automatic tracking.
What stands out:
- Healthcare only. Course tracking, credentialing and incident reporting are built for medical organizations.
- Credentialing in the same place. Useful if you also track provider licenses and certifications.
Right for: practices with several providers or locations that want training records and credentials in one system. Ask: pricing for your headcount and which courses come in the base library. MedTrainer does not name med spas on its homepage.

Book a Demo3. Trainual
Trainual is a platform for writing down how your business runs and training people on it. It names medical and dental practices among its markets and targets companies with 25 to 1,000 employees. Features include AI-assisted procedure writing, 500+ templates, screen recording, tests, completion reports and a mobile app. Higher plans add goals, scorecards and performance reviews.
Right for: practices that want their own front desk scripts, room setup, opening and closing checklists and role expectations in one searchable place. Ask: the per-seat price for your team. Trainual lists a $1,000 one-time implementation fee on all plans but does not publish seat prices. It does not include healthcare compliance courses.
4. TalentLMS
TalentLMS is a general learning management system. As of October 2026 it publishes a free plan for 5 users and 10 courses, then Core at $119 a month for up to 40 users, Grow at $229 a month for up to 70 users and Pro at $449 a month for up to 100 users, billed annually. All paid plans include unlimited courses and SCORM support. A library of 1,000+ short courses is a paid add-on.
Right for: a clinic that wants to build its own courses and quizzes at a known price. Ask: how to add healthcare compliance content, since the add-on library is general workplace training.
5. Connecteam
Connecteam is an employee app for frontline teams, with healthcare among the industries it names. Its HR and Skills hub includes courses, onboarding, documents and a knowledge base. Other hubs cover time clock, staff scheduling, forms, team chat and updates. It publishes a free plan for businesses with up to 10 employees, and paid hubs from $29 a month for the first 30 users as of October 2026.
Right for: small clinics that want staff training in the same app the team uses for shifts and internal updates. Ask: what data you store there. Keep patient information out of a general employee app unless the vendor signs a BAA.
6. Relias
Relias is a healthcare training company that reports 13,000 customers and 3,000+ accredited courses built by in-house experts. It lists physician practices, ambulatory care and urgent care among the settings it serves, with learning, mandatory training, competency assessment and compliance tracking.
Right for: larger groups that want a deep clinical course library with competency checks. Ask: whether the catalog includes topics your providers need. Much of it is built for nursing, long-term care and behavioral health.
7. iSpring Learn
iSpring Learn is a general LMS for onboarding, compliance training and assessments. It offers observation checklists for skills a manager watches in person, automatic re-enrollment when a certification is due, and connections to course libraries such as Udemy and LinkedIn Learning. Its published Business plan starts at 100 users for $8,286 a year as of October 2026. A 30-day free trial is available.
Right for: multi-location groups with 100 or more staff. Ask: whether a smaller user count is available.
8. HealthStream
HealthStream sells learning, competency, credentialing and scheduling software to 5,000+ healthcare organizations, mostly hospitals, health systems and ambulatory groups. It reports 35,000+ courses in its content marketplace, plus BLS and ACLS certification programs.
Right for: practices owned by or affiliated with a health system that already uses it. Ask: whether it works with independent practices your size.
Questions to ask any staff training platform
- Which compliance courses are included? Ask for the course list for OSHA bloodborne pathogens, HIPAA and infection control, and whether it costs extra.
- Can we add our own content? You need your front desk scripts, consult flow and device procedures in it, not only stock courses.
- What does an inspection report look like? Ask for a sample completion report by person and date.
- How are certifications renewed? Check that annual courses and BLS renewals are reassigned automatically.
- What is the price at our real headcount? Include part-time and contract providers, and ask about implementation fees.
- Will you sign a BAA? Only needed if patient information will be stored, but ask before anyone uploads case photos or charts.
- What happens to our records if we leave? Training records may need to be kept for years. Confirm you can export them.
Where Prospyr fits
A training platform teaches your team the steps, and your practice software is where they carry them out. In Prospyr, workflow automation handles repeat tasks such as reminders, so training can focus on judgment. Our post on training aesthetic teams for patient workflow success covers what new hires need to learn first. If service skills are the real gap, see our list of patient experience consultants, or book a practice demo.
Frequently asked questions
What is the best LMS for a small medical practice?
It depends on what you need to train. For required OSHA and HIPAA courses, a healthcare compliance vendor such as Healthcare Compliance Pros or MedTrainer covers the content. For your own procedures, a general tool like Trainual, TalentLMS or Connecteam costs less and is easier to set up.
How much does a staff training platform cost for a clinic?
Published prices on this list range from free (TalentLMS for 5 users, Connecteam for up to 10 employees) to $3,000 a year for a med spa compliance program and $8,286 a year for a 100-user LMS. Healthcare course libraries are usually quoted. Ask about implementation fees too.
Does OSHA training have to be done in person?
No, it can be online, but OSHA's bloodborne pathogens standard requires a chance for interactive questions with a knowledgeable person. Check how a platform handles that before you rely on it alone.
Do I need a separate platform for mystery shop results and coaching?
Usually not. Training platforms hold courses and records, while mystery shops and coaching come from outside firms. See our list of mystery shopper services for med spas.
