Switching to Prospyr
Switching from 4D EMR to Prospyr
Short answer
Prospyr's onboarding team migrates your 4D EMR data for you: patient list & contact details, appointment history, purchase & payment history (requested from 4D EMR — not in their self-serve export), clinical chart notes (exported by 4D EMR as one PDF per patient), clinical photos & scanned documents, and procedure, referring-provider, supply, and marketing-source records. You don't export or rebuild anything. You review it before go-live, and white-glove migration is included for every system.
What comes over from 4D EMR
- Patient list & contact details
- Appointment history
- Purchase & payment history (requested from 4D EMR — not in their self-serve export)
- Clinical chart notes (exported by 4D EMR as one PDF per patient)
- Clinical photos & scanned documents
- Procedure, referring-provider, supply, and marketing-source records
Moving from 4D EMR to Prospyr brings your patient records, appointment history, purchase and payment history, clinical documentation, and photo library with you — Prospyr's onboarding team handles the import as part of getting you set up, and you review everything before go-live. 4D EMR helps here: it commits to free data export and documents a self-serve full export under Practice > Settings > Download Data. Two structural details to plan around. That export compiles chart notes into one PDF per patient rather than field-level records, so clinical notes arrive as documents attached to the chart rather than as structured note fields. And its published file list covers demographics, appointments, procedures, referring providers, supply items, marketing sources, facilities, photos, and scans — but no transaction or payment file, so ask 4D EMR for purchase history directly rather than assuming the self-serve ZIP carries it.
What doesn't come over cleanly
Some things don't come over cleanly from every system. We tell you exactly what before you commit, not after you find out.
How the move works
We audit what you have
Before you commit, we look at your current system and tell you exactly what comes over, what needs review, and what doesn't survive the trip.
We move it ourselves
Our team runs the migration — not a CSV template you're left to fill in. Your team keeps seeing patients while it happens.
You review everything
Nothing goes live until you've checked the records that matter to you. If something is wrong, we stay on it until it is right.
You go live with help in the room
Onboarding and training are included, and a person — not a ticket queue — walks your team through the first days.
Before you leave 4D EMR
- Check your agreement for the contract term, notice period, and any exit or data-access fees.
- Keep read access to your old records for your retention period, so older charts and photos stay reachable after the move.
- Pick a go-live date outside your busiest weeks, and keep your old system active until you have reviewed the migrated records.
- Tell patients about the new booking link before go-live, and update it on your website, Google profile, and social bios.
- Cancel only after go-live is confirmed and your review is done.

Switching from 4D EMR: common questions
Can I switch from 4D EMR to Prospyr?
Yes. Prospyr's onboarding team migrates your 4D EMR data for you, you review it before go-live, and white-glove migration is included for every system.
Do I have to export my 4D EMR data myself?
No. Our onboarding team moves the data. You do not export or import anything yourself, and you review everything before go-live.
What if my system isn't listed?
We migrate from every system, not only the ones listed on our switching pages. Tell us what you use on a demo and we will tell you what comes over.
How long does it take?
It depends on your current system and how much history you have, so a blanket number would be a guess. You'll get the honest answer for your practice, in writing, before you commit.
Who is Prospyr?
